TRIO Student Support Services (SSS) is a federally-funded student retention program that provides support services to participating income-eligible students, first-generation college students, and students with disabilities. Comprehensive programming and holistic individualized supports advance participants’ academic success and personal growth, and promote a sense of community.

The TRIO Student Support Services Administrative and Communication Coordinator reports to the Director of TRIO Student Support Services. Through collaborative engagement, this individual will handle the logistics of student worker supervision in the TRIO office and provide administrative support. This position requires friendly and professional communication via telephone, email, and front desk management and working with students, faculty, staff/ administration, alumni, and community members.

TRIO, at Luther College, is housed within the Office of Student Success (OSS), which reports to the Provost of the college.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

TRIO Office Support

  • Provide primary coverage for the front desk (telephone, office email, greeting all who enter); direct guests to appropriate resources and offices
    Provide administrative support for the Director of TRIO Student Support Services
  • Collaborate with the Director regarding purchase needs
  • Recording TRIO expenditures from the TRIO staff’s expense reports and the budget report
  • Collaborate with the Director and TRIO Advisors (and other campus partners, as assigned) to brainstorm ideas for programming and workshops (academic, life skills, community building, financial literacy, career readiness, professional networking, etc.)
  • Create promotional materials; organize, promote, and prep for programming and workshops
  • Collaborate with the other members of the TRIO team to provide support for/ at TRIO events
  • Manage the TRIO lending library and departmental supplies
  • Ensure the organization and cleanliness of the TRIO office
  • May be asked to schedule appointments and/or room / venue reservations
  • Ensure maintained security of the hard copy student files
  • Process student TRIO applications; provide preliminary eligibility status to the Director and TRIO Advisors
  • Assist with processing and triaging TRIO student early alerts in collaboration with the Center for Academic Enrichment
  • Attend and contribute to one-on-one, TRIO team, and “all OSS staff’ meetings

Data Management

  • Complete data entry following events, activities, and outings
  • Assist the Director with the TRIO SSS Annual Performance Report (APR)
  • Organize and maintain student files; ensure the security of the confidential student files
  • Input data into student tracking systems and update student information

Student Work Management

  • Provide day-to-day supervision of student workers: schedule coverage, track time worked, approve timecards, assign and coordinate tasks, lead student worker staff meetings
  • Manage TRIO SSS Student Worker Training & Resource KATIE page, and schedule other in-person training
  • Collaborate with the Director of TRIO Student Support Services to address specific challenges / concerns with student workers, for support, training, or formative conversations / improvement plans that may need to take place

Communication

  • Demonstrate strong verbal and written communication skills
  • Serve as the primary web manager for the TRIO
  • Student Support Services webpage, keeping the content current
  • Guide student workers with content and design of weekly TRIO SSS Mailchimp newsletters (audience: TRIO SSS students)
  • Develop a consistent post release schedule and collaboratively, with the student workers, maintain the Luther TRIO SSS social media accounts
  • Assist with outreach to TRIO students, TRIO-eligible students, and TRIO applicants
  • Manage scholarship review process

EDUCATION, EXPERIENCE and SKILLS

  • Required Education: Associate’s degree
  • Required Experience:
    • Minimum of one year of office management experience, including reception work
    • Experience in data collection, input, and retrieval
    • Experience in supporting college students of historically underrepresented populations
    • Excellent communication and problem-solving skills
    • Experience with Microsoft Office and the Google Suite
    • Ability to work independently and as an effective team member
    • Willingness to ask questions or for help when needed (collaboration and communication are essential components to this position)
    • Familiarity with or willingness to learn a variety of student information and success systems (e.g. Blumen, Guardian, Pharos 360, Moodie, Colleague)·
    • Ability to cultivate and develop inclusive and equitable working relationships with students, faculty, staff/ administration, alumni, parents, and friends of the college
  • Preferred Education: Bachelor’s degree
  • Preferred Experience:
    • Minimum of two years of office management experience, including reception work
    • Knowledge of the TRIO Student Support Services (SSS) legislative laws, rules, and federal regulations
    • Experience in event planning, tracking, and reporting methods
    • Experience using student information and student success systems
    • Experience with Canva, WordPress, Moodie
    • Experience working with people of diverse backgrounds

PHYSICAL DEMANDS and WORK ENVIRONMENT

  • Substantially sedentary work – must be able to sit and/or stand for up to eight hours each day
  • Must be able to work at a computer for up to eight hours each day
  • Must be organized and able to efficiently work on multiple tasks / projects at once
  • Effective time management and ability to meet multiple project deadlines
  • May need to lift and move up to 50 pounds
  • Collaborative workspace predicated upon teamwork, friendliness, mutual respect, and professionalism
  • Standard work day: 8:00am-5:00pm; one-hour lunch break
  • Some evening and weekend shifts required for events (flex time to accommodate)
  • Some travel required for professional development – may involve overnights; may be regional and/or national
